Business Support Coordinator
We are seeking a proactive and adaptable Business Support Coordinator to provide high-level administrative support to globally based BioPharma Clinical Operations project teams and senior leaders. The role will combine clinical project team administration with executive assistant responsibilities, requiring someone who can work confidently in a fast-paced, complex and international environment.
The successful candidate will be comfortable working across different countries and time zones, supporting multiple stakeholders and adapting to changing business needs. Experience in the pharmaceutical or healthcare industry is desirable but not essential.
Key responsibilities
- Provide proactive administrative and executive support to clinical project teams and senior leaders.
- Manage complex calendars, identify potential conflicts and coordinate solutions.
- Organize domestic and international travel, meetings and occasional off-site events in line with AstraZeneca policies.
- Work effectively with colleagues and stakeholders across multiple countries, cultures and time zones.
- Prepare agendas, presentations, documents and meeting materials.
- Create and manage purchase orders and related administrative processes.
- Coordinate activities and small projects, tracking actions, timelines and deliverables.
- Manage competing priorities and organize workloads to ensure accurate and timely delivery.
- Share knowledge and contribute to consistent, efficient ways of working across the Business Support team.
- Use approved AI tools and modern technologies effectively and responsibly to improve efficiency and recommend technology-enabled solutions.
- Adapt between business support and executive assistant activities as priorities evolve.
Essential qualifications and experience
- 1-2 years of experience in a personal assistant, executive assistant or senior administrative support role. Supporting senior stakeholders, project teams or complex organizations.
- Experience working in a global or multicultural environment, including coordination across different time zones.
- Strong technical skills, including Microsoft PowerPoint, Microsoft Teams and SharePoint Online. Confidence using virtual meeting and collaboration technologies.
- Practical experience using modern AI tools to improve administrative efficiency.
- Excellent organizational skills, with the ability to manage multiple tasks, projects and deadlines simultaneously.
- Fluent English. Written and verbal communication skills.
- Strong customer service and stakeholder-management skills. A high degree of professionalism and credibility when interacting with internal and external contacts.
- Self-motivated, flexible and entrepreneurial approach to problem-solving.
- Ability to work regularly onsite in Durham.
Desirable qualifications and experience
- Experience in the pharmaceutical, healthcare or life sciences industry.
- Experience supporting clinical operations or clinical project teams.
